8. Orders, Shipping & Prepared-to-Order Items

Overview

Prepared-to-order items are produced, packaged, or decanted specifically for each order. These items are non-refundable and non-cancelable, except in cases of proven defect, damage, or incorrect fulfillment.

Before placing an order, you must review all product specifications, including:

  • Purity and concentration

  • Dilution ratios

  • Carrier or solvent

  • Packaging options

If you are unsure about any aspect of a prepared-to-order item, you should contact us for clarification prior to purchase. By ordering, you acknowledge and accept that all sales are final, except for defective or incorrectly supplied items.

Non-Cancelable and Non-Refundable Items

Certain items are non-cancelable and non-refundable to ensure quality, freshness, and compliance with your specifications. These include, but are not limited to:

  • Made-to-Order Materials: Raw materials decanted into smaller quantities or supplied in a dilution.

  • Diluted Materials: Prepared at the ratio and carrier/solvent specified in the product description. SDS documents pertain to undiluted materials unless otherwise stated.

  • Raw Materials and Perfumery Ingredients: Including aroma chemicals, essential oils, solvents, and preservatives.

  • Perfume-Making Kits

  • Personal Items with Hygiene Seals: Such as cosmetics and perfumes

Change of Mind: Orders cannot be cancelled or refunded due to a change of mind.

Customer Responsibility

Sample Testing for Larger Orders

The customer acknowledges and agrees that orders exceeding standard sample sizes (1–10 ml/g) are placed only after prior evaluation of a smaller sample to confirm suitability, compatibility, and intended use, including mandatory sampling of high-value or rare materials prior to larger orders. These prepared-to-order materials are non-refundable, and failure to comply with the sampling requirement releases the company from any liability for unsuitability, incompatibility, or misuse.

Handling, Storage, and Use

By purchasing, you assume full responsibility for the handling, storage, use, and disposal of all materials, including risks arising from dilution, carriers, or solvents. We are not liable for any issues arising from improper handling, storage, or use after delivery.

Purity, Dilution, and Odour

Materials may be supplied pure or diluted, and specifications will indicate the concentration and carrier/solvent.

Odour descriptions are provided by the manufacturer as a general guide. Fragrance perception is subjective, and the scent may vary between users.

Diluted Materials

By purchasing a diluted material, you explicitly request that we prepare the raw material to order at the specified ratio using the indicated carrier or solvent. This dilution service is provided free of charge for the convenience of the customer, particularly for items that may be difficult to handle, such as powders, resins, absolutes, and crystals.

Important:

  • Any Safety Data Sheet (SDS) provided relates to the undiluted raw material unless otherwise stated.

  • Customers are responsible for verifying concentration, carrier/solvent, and suitability for their intended purpose.

  • The type of solvent used and the dilution ratio will be included on the label used when we supply any diluted materials, i.e. 10 DPG or 5 PEA etc
  • By accepting and using diluted materials, you assume full responsibility for their handling, storage, use, and disposal, including any risks associated with dilution or the carrier/solvent.

Packaging

  • Standard packaging is PET or HDPE bottles; glass or aluminium containers must be selected at checkout or requested prior to purchase.

  • Standard packaging is designed for upright, static storage in professional workspaces; optional upgraded packaging may provide a more secure seal but is not guaranteed leak-proof.

Storage Guidelines

General Storage

Customers must store materials appropriately to maintain quality:

  • Cool, dry place, away from direct sunlight

  • Stable temperature: 15–25°C (59–77°F)

  • Containers tightly sealed immediately after use

  • Away from heat, sparks, and open flames

Temperature-Sensitive Materials

  • Citrus oils, aldehydes, and oxidation-prone compounds: refrigeration (4–10°C)

  • Resins and long-term aromachemicals: freezer-safe containers

  • Allow refrigerated or frozen materials to reach room temperature before opening

Bulk Storage

  • Bulk purchases (250 ml–5 L) may require specialized storage. You are responsible for proper chemical storage practices and container compatibility.

Note: We are not liable for degradation, evaporation, oxidation, or other changes due to improper storage. These are guidelines. Always follow the SDS for material-specific storage and handling instructions. Bulk, refrigerated, or frozen storage must comply with professional standards.

Returns

Prepared-to-order items cannot be returned, except if faulty or incorrectly fulfilled. Contact us immediately to resolve any issues.

Regulatory & Safety Obligations

The customer agrees to:

  • Consult SDS prior to use

  • Follow all chemical storage laws

  • Handle all materials safely

  • Label any repackaged/diluted materials

We accept no liability for quality changes due to contamination, improper handling or storage.

Order Acceptance & Offer to Purchase

  • All orders are subject to acceptance and availability.

  • An automated acknowledgment does not constitute acceptance.

  • A contract forms upon payment authorization or dispatch, whichever occurs later.

  • We may cancel orders with errors, stock discrepancies, or mispricing, issuing a full refund for cancelled items.

Order Security

Reasonable measures are taken to secure your order and payment. We are not liable for third-party access, except in cases of our negligence.

Shipping & Delivery

  • Orders may be shipped in multiple packages.

  • Hazardous goods only shipped within the UK.

  • Overseas shipping is DDU; customers are responsible for customs, VAT, or duties.

  • No liability for loss if delivered to a safe place, neighbour, or third-party shipping provider.

  • Optional packaging upgrades do not guarantee transport safety.

9. Product Documentation (SDS, CLP, Allergen, IFRA, Annex VIII / PCN etc.)

Documentation Supply Policy

Documentation is available only to customers who have purchased the corresponding materials.

Documentation is attached to completed orders within the customer account dashboard and is not displayed on individual product pages.

Rare, restricted, or hard-to-source materials may not have documentation available. Products supplied without documentation are provided for educational, evaluation, or research purposes only, and no refunds will be issued where documentation is unavailable.

Customers intending to use materials in finished products that require regulatory compliance, safety assessment, or market notification (including but not limited to CLP classification, cosmetic safety assessment, or poison centre notification) must verify documentation availability prior to purchase.

Whilst it is not mandatory, customers are strongly advised to create an online account in order to access, track, and download available documentation at any time. Where no account exists, Safety Data Sheets (SDS) may still be supplied following receipt of valid proof of purchase; customers should allow up to 14 days for issuance of available documents.

Types of Documentation

  • Safety Data Sheets (SDS)
    Supplied in accordance with UK REACH and GB CLP requirements. SDS are provided to support hazard classification, safe handling, storage, and emergency response. SDS may not contain full compositional detail.
  • Certificates of Analysis (COA)
    Optional and not legally required. Provided where available to demonstrate analytical quality or conformity.
  • IFRA Certificates
    Optional guidance documents relevant to fragrance use. These are typically not provided for raw materials and are not a substitute for regulatory compliance assessments.
  • Allergen Declarations
    Provided where available and typically derived from supplier data or standard compositional knowledge. Allergen data may be indicative only.

Annex VIII / Poison Centre Notification (PCN)

Our essential oils, absolutes, CO₂ extracts, resinoids, and related natural materials are supplied as UVCB substances (substances of Unknown or Variable composition, Complex reaction products, or Biological materials).

Due to their inherent variability and upstream supplier limitations, these materials are supplied without Annex VIII / Poison Centre Notification (PCN)-supporting compositional concentration data. SDS provided support CLP classification only and may not contain the compositional detail required for Annex VIII poison centre notification.

We do not provide Annex VIII composition datasets, PCN-specific documentation, or expanded Section 3 constituent concentration ranges unless explicitly stated otherwise.

In accordance with Regulation (EC) No 1272/2008 (CLP), Annex VIII, responsibility for ensuring that sufficient information is available to support PCN submission rests solely with the downstream user placing mixtures on the market. Customers are responsible for determining the regulatory suitability of materials for their intended use.

Voluntary Documentation

Where no legal obligation exists, documentation may be provided voluntarily and in good faith where supplied by upstream manufacturers or distributors. This may include COA, IFRA Certificates, or allergen information.

Customers acknowledge that voluntary documentation availability cannot be guaranteed, may change without notice, and that we accept no liability for loss, delay, or regulatory impact arising from missing, incomplete, or unavailable documentation.

Liability

We accept no liability for any loss, damage, or regulatory consequence arising from the absence, incompleteness, or regulatory insufficiency of documentation, including but not limited to Annex VIII / PCN requirements.

Use of Products

  • Products are sold on the understanding that buyers have the knowledge and experience to handle, store, transport and use them safely.

  • We do not provide formula instructions, consultation, or guidance.

  • Customers must ensure product suitability prior to purchase; no refunds will be issued for errors.

Essential Oils

  • Supplied as cosmetic ingredients only.

  • Non-cosmetic use requires the customer to seek professional advice and appropriate labeling.

Acceptance

By placing an order, you acknowledge and accept these terms, including the Documentation Supply Policy and all responsibilities related to prepared-to-order items, storage, handling, and use.


 

10. Price and Payment

  • All prices are in £ GBP.
  • We reserve the right to change prices at any time without notice.
  • Payment can be made by major credit/debit cards or PayPal. Payment will be taken and cleared before dispatch. 
  • Only one discount code may be applied per order. 
  • If a pricing error is identified before an order is accepted, we may notify you and provide the option to either confirm the order at the correct price or cancel it. Any payments for cancelled orders will be fully refunded.

 

11. Eligibility to Purchase

By placing an order, you represent, warrant, and agree that you:

  1. Legal Age: Are at least eighteen (18) years of age if acting in an individual capacity;

  2. Accurate Information: Have provided complete, current, and accurate information, including your full name, address, telephone number, email address, and any other requested particulars; and

  3. Professional Competence: Are a fully trained and qualified industry professional, competent to safely handle, store, transport, and use the products offered. This includes understanding the use of pure and diluted materials, CAS identification, and SDS documentation.

We reserve the right, at our sole discretion, to refuse or cancel any order if you do not meet these requirements. Any contract formed in breach of these representations and warranties shall be voidable by us.


 

12. Offers and Promotions

Redeeming Promotional Codes

  • Valid promotional codes must be entered at the time of checkout on the initial order.

  • Each code may be redeemed once per person and is valid only for online purchases at www.perfumeextract.co.ukAttachment.tiff.

  • Codes cannot be combined with other promotions or discounts, applied retrospectively, or exchanged for cash.

  • Gift vouchers and sale items are excluded from promotional offers.

Free Gifts and Offer Limits

  • Certain promotions may include a complimentary gift when order criteria are met.

  • Only one free gift per offer is permitted; multiple free gifts of the same item are not allowed.

  • Free gifts are subject to availability.

  • We reserve the right to refuse or cancel orders where codes are invalid or the number of free items exceeds the offer limit.

Changes and Withdrawals

  • All promotions, including discount codes and offers, may be modified, suspended, or withdrawn at any time without prior notice.

  • Discount codes or loyalty points will not be applied retrospectively.

Abuse of Promotions

  • Any intentional misuse of promotional codes, including manipulation of browser or system functionality, fraudulent activity, or breach of these terms, may result in account suspension or a ban and the cancellation of outstanding or future orders.

You grant us a perpetual, royalty-free license to use submitted content on our Website or in any other media context.

17. Limitation of Liability

    • Loss, corruption, or breach of data or privacy;

    • Loss, damage, or theft of personal belongings or property;

    • Any other indirect, incidental, or consequential loss.

     

Direct Damages

Our total liability for direct loss or damage shall not exceed the amount paid for the product or service giving rise to the claim.

Exclusions

Nothing in these Terms limits or excludes liability for:

  • Death or personal injury caused by our negligence;

  • Fraudulent misrepresentation; or

  • Any liability which cannot be excluded under English law.

Third-Party Services

We accept no liability for losses arising from your use of third-party services, websites, or delivery providers.

Customer Responsibility

You are solely responsible for the safe, lawful, and appropriate use, handling, storage, transportation, formulation, and application of all products and materials obtained through the Website or our services.


 

18. Severance

If any part of these Terms is found to be unlawful, void, or unenforceable, that provision shall be severed, and the remaining provisions shall continue in full force and effect.


 

19. Waiver

Failure to enforce any Term does not constitute a waiver of future enforcement.

These Terms, along with our Privacy, Cookie, Delivery, Documentation Supply, and Cancellations & Returns Policies, form the complete agreement between you and us.


 

21. Law and Jurisdiction

These Terms shall be governed by English law; disputes resolved exclusively in English courts.
